CAN YOU ALL PLEASE READ ALL DETAILS BELOW – I DON’T WANT TO REPEAT MYSELF


Ok, details are as follows (mostly copy and pasted from last year):


1) ORGANISATION – As with last year I’ve decided to put myself forward for organising the stand, track time, monies, tickets, stand passes, and so on for both clubs - Prelude UK, Lude Generation and Lude Behaviour. It's my local show and I'd like to see as many people there as possible and having done it a couple of times now, am familiar with the process. Any objections…you can kiss my rear! :lol:
We will have a joint stand as we did last year. This gives us a bigger stand area for the rarity that is the Honda Prelude. Own a scooby and you'd be in a club space of 100+. Lets unite people! 2011 saw the largest number at Japfest nearing around 20-25 ludes. Let's smash the 30 figure!

2) Who is the club stand for?
IT IS FOR EVERYONE! (preferrably with a Prelude! :lol: )
There is always an impression that people get that there car isn't good enough, that the club stand is for the elite only. Not the case, it is an area for our clubs - that means all members, no matter what condition or state of modification your car is in. If your with LB or PUK and are coming along to Japfest then get your name down and money sent.

It also gets you into and out of the show quicker I personally find - rather than having to queue and park in the public car park. And depending on where the stand location is may give you a shorter walk to the main show area - or next to the best viewing corner of the track - Quarry corner like we were last year. People come off here alot - very deceiving bend - everyone likes a little drama! :D


4) CLUB STAND PASSES & TICKETS

How much?
The entrance tickets to get into the show as part of the club advance booking are £15 (same as last year). They havn't started to sell tickets yet, but assuming it's the same as last year at £20 on the gate, it's £5 less if you book through our clubs and usually £1-2 less than an advance ticket from their site. So either way works out as your best option for all tickets. Please note if you are bringing anyone with you under 14 years of age they are free. :wink:

In addition to the £15 per ticket I also need £1.50 to cover some envelopes and recorded 1st class post to send you your ticket. Unfortunately they all get sent to me in one batch and it’s quite a task to send them out to everyone. I got stung on some of this cost last year, so this is a MUST!

So that’s:

£15 per ticket + £1.50 = £16.50.

If you’re ordering two tickets, please only pay the additional £1.50 once. E.g:

2 x £15 + £1.50 = £31.50.


Difference between Club Stand Pass & Tickets?

I thought I would spell this out to people as there was some confusion by some last year – honestly it’s not rocket science! :lol:
The money you pay to me is simply for your entry ticket into the show. It looks exactly like the ticket you would buy if you left it till the 12th May 2012 and paid on the gate. Like this (but with the tab not ripped off):

I need to buy these tickets for the club booking. With every ticket purchased I can get a club area stand pass per vehicle. These are issued free of charge with every ticket. They look like this:

This is the item you display in the window of your car to gain access to the club stand areas. Without it you will be directed to the public car park.

CLEAR? (I hope so!)


How many tickets?
Can I ask for people to state the number of tickets they require and the number of stand passes. Basically the number of tickets we book together will be the minimum number of stand passes they will allow. So people bringing partners & friends - it's cheaper to get advance tickets through us and we will secure more stand passes for the inevitable late-comers and a bigger and better location! So can I please, please ask you to book any others through me and the stand booking. :D

When do I need to pay by?
Well the final club booking date for the Japfest organisers is usually around the 1st April. HOWEVER, we want to secure a good stand location earlier and some track time before it all goes and so have started this thread a lot earlier.
As a result, I have set two different closing dates for monies to be with me by:


1) Money for stand passes to be paid by:

1st March 2012

2) Money for track time to be paid by:

1st February 2012


(I need to contact the organisers and get a feel as to how quickly the spots fill up and change this date accordingly)

There will be a day or two float for a couple of special circumstances depending on peoples pay dates, cashflow, etc. But I'm not a charity and this is going through my accounts and I don't want to be caught short as some have in the past. So can we please aim for as soon as you are physically able to. Please don't sit back and wait for the deadline if you can pay before then. I will still need to transfer monies from Paypal, or cash cheques, etc as I will be paying on my own debit card like last year.

3) TRACK TIME (New for PUK / LG / LB in 2012) - THIS HAS BEEN CANCELLED - TOO SLOW! :(

We say it year after year about securing track time, but it usually gets snapped up quick and we struggle to get numbers on here. However, I notice we have many regular track goers now and at a push can extend our session to some fellow Honda clubs - thinking ATR's, Tegs, etc. So please feel free to ask friends with these models.

To guarantee a club only slot I will need a maximum of 20 cars and the session is to be booked for £600. This works out to be £30 a car if we get the full 20 people. If we struggle for numbers the extra will need to be paid by the remainder if we cannot get any substitutions. I.e. 15 cars only would mean £40 per car. People already paid there £30 will need to cough up another £10.

Sorry to have to put the burden back to the remainder, but there is no other option - I am not paying out of my own pocket and we don't have a backup club kitty to raid. So to all that put there names down and pay the £30 are agreeing to these terms!
I won't be impressed if people moan and say they did not read all this information properly!

If for some reason it does not go to plan, I can proceed with the booking for a limited number of people but they will be as individual track sessions at £35 per car. I.e. not a dedicated club session, so you’ll be thrown in with any car on the day. So at least there’s a backup – but only if we get in there quick! So come on guys, get your name down and pay up by the date.

Those who havn’t tracked there car before but are tempted to do so, go for it! I had my first track session at Japfest a few years back with Honda Revolutions. I loved it! My car was fairly standard at that point, even OEM suspension setup and awful brakes. But it’s still good fun. Trust me you’ll want to have another go!


Who and how do I pay?

You pay little ole me!
I'm sure most people know me on both forums having been around in the scene nearly 9 years now. You can put your full confidence in me. I handled over £500 for the event last year and have organised numerous group buys for things like Club Polo shirts and various items in the for sale including my regular Spoon chips and I'm sure most will back me up that all transactions went smoothly and I am a very trustworthy person - I.e. I’m not Turbo Timer!!! :lol:

Three options:

Paypal
This is the preferred payment option if you can. As I have offered to arrange this show stand for both forums, I have offered to use my Paypal account as the main source as most on here use this facility. It is fairly quick give or take transferring the money out to make the payment to Japfest:

PLEASE MAKE THE PAYMENT MARKED AS A GIFT SO PAYPAL DO NOT DEDUCT FEES AND MAKE ME FALL SHORT. :wink:

Bank Transfer
This is the simplest and direct option to pay. I'm more than happy to use this method if people want to - it may be the best option for the ones that can't pay till the last minute. :wink:

Cheque
Good old safe cheque - however time wise it is not ideal to have to wait for the money to clear with such a tight deadline. I will accept cheques in the post to the address above but please if you choose this method can I ask these be sent earlier than the 1st March to give me time to get to the bank and the cheque to have 3-5 working days to clear.

But I've already bought my ticket!
If you have gone ahead and bought a ticket already - can you PM me the reference number on the ticket and I may be able to speak to the organisers and include you to the numbers to gain the stand pass.
Alternatively, if we have a number of spare stand passes from ordering more tickets than ludes, these can be reserved. :D

4) WHAT HAPPENS NEXT?
Once you've paid, can I ask you to PM me the following details:

This won't be posted, just for my records to send tickets out, chase people and get ahold of each other on the day.

So, once the monies are all in by the deadlines, the club stand will be booked with the organisers. Then during the month of April they finish organising the layouts and get the various media printed. I should receive the tickets and stand passes a week or two before the show. As soon as I get them, I will re-post them out to everyone hopefully with time before the show so your ready to drive up with the ticket and stand pass and be directed in. For the odd late-comers where we MAY have a spare stand pass, we can try to meet you out by the club stand entrance barrier to hand you your stand pass.

They normally post a map to show the area we’ll be located in the month running up to the show. As soon as someone spots it, we’ll post it up on here. :D

We’ll probably meet up again at the Comet / Pets at Home car park at Chippenham to convoy in – I’ll try not to be the last one late again! :roll:
We’ll chat about this nearer the time.

I dont like japfest :( :evil: cost me money for nothing got all the way to pit lane exit and got turned round..........very tight on noise :ugeek: my fault but was gutted
